This Privacy Policy explains how Italy to Roam collects, uses, shares, retains and protects personal information when you visit the Italy to Roam website, contact us, request event-planning support, or ask us to help arrange travel services.
A single event may involve both event-planning services and travel arrangements. This policy explains how personal information may be used for each part of that engagement.
Where travel services are included, Italy to Roam arranges those services through Luv to Travel Inc., the TICO-registered travel agency identified in the applicable travel booking documentation. Luv to Travel Inc. and the relevant travel suppliers may also have their own privacy notices and information-handling obligations.
This Privacy Policy does not replace the privacy policies or terms of independent travel suppliers, accommodation providers, venues, event professionals, payment providers or other third parties that provide their own services.

Where travel services are included, Italy to Roam arranges those services through Luv to Travel Inc., a TICO-registered travel agency. Travel booking documentation and payment information may identify Luv to Travel Inc. and the relevant travel supplier.
3. Information We Collect
The personal information we collect depends on how you interact with Italy to Roam and the services you request.
Information You Provide When You Contact Us
When you contact Italy to Roam via the website, email, telephone, social media, or another direct channel, we may collect your name, email address, telephone number, and the content of your message.
Event-Planning Information
If you request event-planning support, we may collect information needed to understand and provide the agreed services. This may include your event date, destination, guest numbers, budget, preferences, priorities, planning requirements and communications relating to your event.
Travel and Traveller Information
Where you ask Italy to Roam to help arrange travel services, we may collect or receive the traveller information required for the requested arrangements. This may include traveller names, contact details, dates of birth, citizenship or residence information, travel dates, destination and itinerary preferences, passport or other travel-document information, where required, emergency contact details, accessibility or dietary requirements, and booking records.
Travel-related information is collected only where it is relevant to the requested travel arrangements and may be provided to or processed through Luv to Travel Inc. and the relevant travel suppliers as described in this Privacy Policy.
Visiting, following or viewing Italy to Roam social-media pages does not by itself provide Italy to Roam with your personal information. If you contact us through a social media platform, we may receive your username and any information you choose to provide. The relevant platform also handles information in accordance with its own privacy policy.

Italy to Roam does not offer services directly to children and does not knowingly collect personal information directly from children through its website.
Where an event or travel arrangement involves a child, Italy to Roam may collect information necessary for the requested arrangements, such as the child’s name, date of birth, travel-document information, dietary or accessibility requirements, or booking details. This information must be provided by, or with the authority of, the child’s parent or legal guardian and will be used only for the relevant event or travel arrangements.

Italy to Roam uses personal information to:
- respond to enquiries and requests for information;
- understand your event-planning or travel needs;
- prepare event-planning proposals, recommendations, travel ideas, itineraries and quotations;
- provide the event-planning support, travel counselling, coordination or other services you have requested;
- communicate with you about your enquiry, services, arrangements, payments, changes or support needs;
- arrange and manage travel services through Luv to Travel Inc. and the relevant travel suppliers where you ask us to do so;
- maintain accurate business, client and booking records;
- meet legal, regulatory, accounting and record-keeping requirements; and
- protect the security and proper operation of our services.
We use personal information only for the purposes explained in this Privacy Policy, for purposes communicated to you when the information is collected, or as otherwise permitted or required by applicable law.
6. How We Share Personal Information
Italy to Roam shares personal information only where it is necessary to provide requested services, meet legal obligations, protect our business, or where you have otherwise been informed.
Depending on your arrangements, this may include sharing relevant information with:
- Luv to Travel Inc. for travel counselling, booking, payment and record-keeping processes;
- travel suppliers, including accommodation providers, transportation providers, tour operators and insurers, where required to quote, arrange, confirm or manage travel services;
- venues, event professionals and local service providers where you ask Italy to Roam to make an introduction, coordinate services or support your event arrangements;
- payment providers where a payment is made through their system;
- professional and technical service providers that support our business operations, where necessary and subject to appropriate confidentiality or contractual obligations; and
- government authorities, regulators, legal advisers or other parties where disclosure is required or permitted by law.
- MailerLite, which supports the delivery of requested guides or resources and, where you have subscribed, newsletter communications;
We share only the information reasonably necessary for the relevant purpose. Italy to Roam does not sell or rent personal information.
7. Payments
The Italy to Roam website does not collect or store full payment-card details.
Where a travel payment is required, payment information is provided and processed through the applicable Luv to Travel Inc. booking process or the relevant travel supplier’s approved payment system.
If a separate event-planning or coordination fee applies, the payment details and method will be provided directly to you. Please do not send full payment card details through a website contact form or via unsecured email unless you have been given a secure method to do so.
8. International Transfers of Personal Information
Italy to Roam is based in Ontario, Canada. Event planning and travel arrangements may require personal information to be transferred to, stored in, or accessed by service providers outside your province, country, or region, including in countries associated with your event or travel arrangements.
This may include Luv to Travel Inc., travel suppliers, accommodation providers, transportation providers, venues, event professionals, payment providers and other service providers involved in the services you request.
Privacy laws in another country may differ from the laws of your place of residence. Where personal information is transferred internationally, Italy to Roam will take reasonable steps to ensure that it is handled for the purposes described in this Privacy Policy and in accordance with applicable law.
9. Consent and Your Choices
Italy to Roam collects and uses personal information for the purposes described in this Privacy Policy or otherwise explained when the information is collected.
Where consent is required, we will request it in an appropriate form. You may withdraw your consent at any time, subject to legal or contractual requirements and reasonable notice. Withdrawing consent may affect our ability to provide the requested service, complete a travel arrangement, or continue supporting an active event-planning engagement.
If you provide your name and email address to receive a guide or other requested resource, Italy to Roam will use that information to provide the requested material.
If you separately choose to receive the Italy to Roam newsletter or other marketing communications, you may unsubscribe at any time by using the unsubscribe link in the communication or by contacting us using the details below. Choosing not to subscribe, or unsubscribing later, will not affect your ability to receive the requested guide or communications relating to an active enquiry, event-planning service or travel arrangement.
10. Privacy Laws and Your Rights
This Privacy Policy applies to personal information collected and handled through Italy to Roam’s business practices, including client enquiries, event-planning services, travel counselling, travel arrangements and communications. It is not limited to information collected through the website.

Italy to Roam provides or arranges services involving Italian and other international venues, accommodation providers, transportation providers, event professionals and travel suppliers. Italy to Roam retains personal information only for as long as reasonably necessary to provide the requested services, manage an active client relationship, resolve questions or disputes, and meet legal, regulatory, accounting and record-keeping requirements.
The retention period may differ depending on the type of information and the services requested. Travel-related records may also be retained by Luv to Travel Inc. and through the relevant travel-booking process, in accordance with their applicable obligations and practices.
When personal information is no longer required, Italy to Roam will take reasonable steps to securely delete, destroy or de-identify it.
12. Safeguards
Italy to Roam uses reasonable administrative, technical and organizational safeguards appropriate to the sensitivity of the personal information it handles.
No method of transmitting information over the internet or storing information electronically can be guaranteed to be completely secure. If a privacy or security incident occurs, Italy to Roam will take the steps required by applicable law.

The Italy to Roam website is primarily an informational website and does not provide an online travel-booking engine or checkout.
The website uses technologies necessary for its operation and functionality, including features that support page delivery, security, contact enquiries, email sign-up forms, analytics, and cookie consent management.
Italy to Roam currently uses MailerLite for email subscription and opt-in forms. MailerLite may use cookies or similar technologies in connection with these forms and email-marketing functions.
Italy to Roam also uses Google Analytics 4 (GA4) to understand how visitors use the website, including page visits, interactions, traffic sources, and overall usage patterns. Google Analytics may use cookies or similar technologies to collect this information.
